How do I prepare?

Preparing for Outlook - user responsibilities

Our email is one of our primary computerized tools. As such, every user is responsible for proper use.

First, prepare thyself for change. We know change is hard. We often resent it and fight it just because it is a change. IT believes this will be a positive change for Century staff, and that it will be worth the effort each user will need to make to prepare for the migration and to learn the new tools.

Second, plan some time for clean-up prior to the migration period. We must reduce the size of our mailboxes before we migrate.

Third, check out the training options that will be offered - there will be hands-on sessions, demonstrations, and computer-based training. More information about training will be available from Stars in early February.

Fourth, take precautions for your data.

  1. Clean out your Archives. You may be surprised as to how many archived emails you actually have - some users have found tens of thousands of emails they didn't know were there. We have prepared some tips and tricks and instructions to help you with this task. Remember to empty your Archive Trash after you have deleted superflouous archived items.
  2. Consider printing your calendar just before migration date, so you can assure yourself that all of your appointments are accurately represented in the new Outlook tool.
  3. Sign up for the appropriate training.
  4. Prepare your Frequent Contacts for migration. As of January 21st, instructions are still being devised.
  5. Review your personal address book. More on this will be available later in February.
  6. Your GroupWise Rules will not transfer to Outlook. You may wish to print screen shots of your rules so that you can recreate then in Outlook.
  7. Your proxies also will not transfer to Outlook. Make sure you have a record of your proxies so they can be recreated in Outlook.
  8. Your Trash will not be migrated to Outlook. Items in your current Trash will not be available after the migration. You may wish to review your Trash to ensure you have what you need.
  9. Clean out your Archives.
